CALL TO ORDER / PRESENTATION OF MINUTES
- Bill Steenis called the meeting to order at 7:05pm. Present were Bill Steenis, Duane Oord, Steve Yandl, Cheryl Carlson and Evan Adolf.
- Steve Yandl presented the minutes of the November 2011 meeting. Evan Adolf moved to accept the minutes, Bill Steenis seconded and the motion passed 5-0.
TREASURER’S REPORT
- Steve Yandl presented the treasurer’s report. The long term capital replacement fund (certificate of deposit) has $44,851. The operational reserve (money market fund) has $4,863 after the $6,000 transfer to regular checking approved at the November meeting. The regular checking has $8,133 with $3,080 in checks not yet cleared.
- It’s anticipated we will need to transfer less than $1,000 additional from the operational reserve to finish out 2011.
- Copies of the audit of 2010 financial records were distributed for review.
- Steve reported that the budget approved by the Board appeared in the December issue of the newsletter and ballots to ratify that budget would accompany invoices to be mailed to the membership at the start of 2012.
- Bill Steenis presented an invoice from the sign company for $438 that was for holiday decoration award replacement signs. The 20 signs were a more durable type that hopefully won’t need to be replaced as often as the current sign type.
- Bill Steenis suggested that the update to the reserve fund analysis could be postponed until spring 2012 (prior to electing a new Board and the HOA annual meeting).
- Bill Steenis suggested that Steve Yandl check with the auditor to see if we could pay invoices on line despite our requirement for two signatures on checks. This would save a great deal of time and effort.
MAINTENANCE COMMITTEE REPORT
- Cheryl reported that the 14 fence panels recently redone would be painted in the upcoming year.
- No other issues need urgent attention. Steve Yandl reported that there are some issues with deteriorating lock mechanisms in some of the secure mail box units.
ARCHITECTURAL CONTROL COMMITTEE REPORT
- Steve Yandl had copied ACC members and board of directors on an email reminding a homeowner on 150th Place that his lawn was in need of mowing. Homeowner had responded and committed to mowing on the 9th and keeping the yard better maintained in the future.
- Steve Yandl inquired if Bill Steenis still planned to put up a flag pole as described in their request to the ACC. Bill responded ‘yes’ but said he just hadn’t gotten around to it. There had been concern expressed with regard to the size of the flagpole which will be in front of the house.
OLD BUSINESS
- Steve Yandl reported on conversations with Steve Goldstein, attorney assigned by our insurance carrier to handle the lawsuit filed by the Sharma family. For any settlement, both insurance carrier and the HOA have to approve so strategy was discussed.
NEW BUSINESS
- Steve Yandl reported that approval had been given for the Boy Scouts to mulch collected Christmas trees at the end of 156th Street as in the past few years. We won’t be giving the troop a gratuity again this year.
- We will most likely be switching to quarterly newsletters to save costs.
